Rental agreements & e-signature

How to write your rental policy, capture e-signatures on every booking, and set per-vehicle overrides.

5 min read

Overview

Your rental and cancellation policy is written in a full rich-text editor (or uploaded as a PDF instead), then e-signed by every guest as part of booking, no printed paperwork or separate signing tool required.

Terms are locked to a booking the moment it's made. Editing your policy afterward never rewrites what a past guest already agreed to.

A rich-text rental policy, e-signed on every booking.

How it works

  1. 1

    Write your policy

Use the rich-text editor to write your rental and cancellation terms, or upload a PDF instead.

  2. 2

    Set your default

Mark a policy as your company default so every new vehicle inherits it automatically.

  3. 3

    Override per vehicle if needed

Assign a specific policy to an individual vehicle when its terms genuinely need to differ from your default.

  4. 4

    Guest signs at booking

The guest reviews and e-signs the applicable policy as part of the booking flow.

  5. 5

    Terms stay locked

The exact signed terms are permanently attached to that specific booking.

Best practices

  • Keep your default policy current, it's what applies to every vehicle unless you've set a specific override.
  • Use per-vehicle overrides sparingly, for a genuinely different vehicle (specialty or high-value), not as your everyday workflow.

Things to keep in mind

  • Editing your policy later never changes what a past guest already agreed to, terms are snapshotted at the moment of booking, not linked live to your current policy text.
  • Uploading a PDF switches that policy to PDF format entirely, guests see the uploaded document instead of the rich-text version.

What's automated

  • E-signature capture happens automatically as part of the booking flow, with no separate paperwork step for you or the guest.
  • A new vehicle inherits your company's default policy automatically unless you explicitly override it.

Common questions

If I update my cancellation policy, does it apply to bookings already made?

No. Every booking keeps the exact policy terms that were in effect and signed at the time it was made, an update only affects bookings made after the change.

Can different vehicles have different rental terms?

Yes, use a per-vehicle policy override any time a specific vehicle needs terms that differ from your company default.
