Team & operations

The jobs around every trip, opened and closed for you.

When a booking comes in, RentHive opens the tasks it needs, from checking the license to photos before the trip, and closes them when the work is done. Maintenance, expenses and revenue sit beside them, and each teammate sees only the sections you give them.

How it runs itself

The work around every trip, assigned, done and reported by itself.

A booking turns into jobs for your team, the system notices when they're done, and the numbers update on their own.

Automatic5 of 8 steps happen without anyone doing them

  1. RentHive · automatic

    The booking creates the jobs

Check the license, get the agreement signed, photograph the car before the trip.

  2. RentHive · automatic

A rule gives the photos to Andre

Assignment rules decide who gets which kind of job, and which channel hears about it.

  3. Andre · teammate

    Andre gets a notification

A bell in the app and an email, with a link straight to the job.

  4. Andre · teammate

He photographs the car at pickup

From his phone, in the trip camera. That's all he does.

  5. RentHive · automatic

RentHive sees the photos and closes the job

The task moves to Done by itself, because the photos are there.

  6. RentHive · automatic

    #tasks hears about it

The task's channel gets a line, so the team knows without asking.

  7. Sofia · teammate

    Sofia snaps the fuel receipt

The camera turns it into an expense on the car, and #expenses gets a line.

  8. RentHive · automatic

    Revenue, expenses and profit update

The trip's $917.77 and the fuel land in Management, by car and by source. A digest arrives on Monday.

Tasks

Tasks that know when the work is done.

Checking the license and insurance, collecting payment, getting the agreement signed and photos before the trip open when a booking comes in. Each closes itself once the booking shows it's done, and when the trip ends the deposit, the cleaning and the return photos follow.
  • A board: To do, In progress, Stuck, Done
  • Rules give each kind of task to a person, for the cars you pick
  • Damage claims, lead follow-ups and workshop visits too

Maintenance

Workshop visits that keep the car off sale.

A job moves from Booked in to In the workshop to Back. Saving it blocks the car on your calendar and website for those days, and the cost is booked as an expense.
  • Garages found through Google Places
  • Photos and invoices on the job
  • A workshop task that closes when the job is done

Money

Income, expenses and the gap between them.

The overview shows your balance, income by source (website, app, Turo, manual), expenses as a share of revenue and the month-by-month flow, filtered by dates and vehicle. Add expenses with a receipt from the in-app camera, set recurring ones, and import or export CSV.

Connected

One booking, handed on.

Follow Fatima's Porsche Macan S from chapter to chapter. Each one hands the booking on, so nothing is copied across by hand.

Good to know

  • There are no PDF accounting reports or QuickBooks or Xero connections; export CSV instead.
  • Access is set section by section for each person; there are no preset roles or invite links.
  • Maintenance is booked by you; RentHive doesn't send service reminders by mileage.

Questions, answered

More in the Help Center, or email us any time.

How do team tasks work?+

Tasks sit on a board: To do, In progress, Stuck and Done. Built-in types such as checking a license, collecting payment, photos before and after the trip and settling a deposit create themselves from booking events and close themselves when the work is done, and rules can assign them automatically.

How do I track maintenance?+

In Management → Maintenance, jobs move from Booked in to In the workshop to Back. Saving one blocks the car on the calendar and website, and you can attach the garage, photos and invoices; the cost is booked as an expense.

How do I track expenses?+

In Management → Expenses, add costs by category and vehicle, snap receipts with the in-app camera or upload them, set up recurring expenses, and import or export CSV.

What reports do I get?+

The Management overview shows your balance, income by source, expenses as a share of revenue, month-by-month money flow and top cost categories, filtered by date range and vehicle. You also get a weekly digest email on Mondays and a monthly statement on the 1st.

Can I limit what my staff can see?+

Yes. For each team member you pick the sections they can use, from the dashboard and calendar to the website and settings. The server enforces it, so a section that isn't granted can't be reached another way.

How do I add a team member?+

The account owner adds staff in Team Settings: their name, email, a starting password and the sections they can use. They get a welcome email, and you can remove their access at any time.
