How to add vehicles, upload photos, and set pricing using the guided step-by-step setup flow.
Overview
Every vehicle in your fleet goes through the same guided, step-by-step setup: Basics, Photos, Pricing, and Extras. You can complete it in one sitting or leave partway through, since your progress is saved automatically at every step.
This is deliberately the first thing you do in RentHive, because everything else (your booking calendar, your direct booking widget, your pricing, your guest verification) is built on top of a vehicle record that exists and is complete.

How it works

Add the basics
Enter the vehicle's make, model, year, seat count, transmission, fuel type, and location. This is also where you set an internal code for the vehicle, which is checked for uniqueness automatically as you type.

Upload and order photos
Add up to 30 photos per vehicle (JPG, PNG, or WEBP, up to 10MB each). Drag to reorder them, and mark one as the cover shot, it's the first thing a guest sees on your direct booking widget.

Set your pricing
Set a daily rate, then decide whether to enable weekly and monthly discount tiers. You can use your company's default discount percentages or set vehicle-specific ones.

Choose extras
Attach any extras this vehicle offers (child seat, phone mount, roadside kit, and so on) and mark each as included or optional at checkout.

Publish
Once every step is complete, the vehicle is live on your calendar and your direct booking widget.
Best practices
- Upload at least 5-6 photos with a clear, well-lit cover shot, listings with a strong first photo convert better on the direct booking widget.
- Turn on weekly and monthly discounts if you want to win longer, more profitable trips instead of competing purely on nightly rate.
- Fill in every field the first time. A vehicle with gaps (missing photos, no extras configured) reads as incomplete to a guest comparing options.
Things to keep in mind
- A vehicle can't be deleted once it has an active, pending, or confirmed booking attached to it. Wait for the booking to complete or cancel, or take the vehicle offline instead of deleting it.
- Photo uploads are capped at 10MB per photo and 30 photos per vehicle, and only JPG, PNG, and WEBP are accepted.
- Your plan sets a hard vehicle limit: 10 on Starter, 50 on Growth. You'll be prompted to upgrade before you can add a vehicle past your plan's limit.

- Setup progress saves automatically at every step, so closing the tab partway through never loses your work.
- Your internal vehicle code is validated for uniqueness in real time as you type it.
Common questions
Can I edit a vehicle after it's published?
Yes, every field from the setup flow (photos, pricing, extras, basics) stays editable at any time from the vehicle's detail page.
What happens if I try to delete a vehicle with an upcoming booking?
The deletion is blocked. You'll need to wait for the booking to complete or be cancelled first, this protects both you and the guest from a vehicle disappearing out from under a confirmed trip.
